United States of America: Logistics Analyst, KAUST Gifted Student Program

The Logistics Analyst is responsible for managing complex participant travel requests, arranging housing and providing policy and program guidance to partners, sponsors and internal program staff. This position is regarded as a technical resource in housing and participant travel.

Essential Functions

  • Arranges housing and travel. Researches, assesses and makes recommendations on suitable travel itineraries.
  • Serves as the IIE representative liaison with external vendors including the travel agent(s) to support coordinators and administrators on travel booking and housing.
  • Functions as a primary resource on IIE systems and interfaces with systems experts for process improvement.
  • In consultation with the program team and sponsor, establishes housing and travel policies. Creates policy and process documents, and training material which complies with applicable sponsor requirements and all internal policies and procedures for IIE internal clients and necessary external parties.
  • Serves as point of contact on all travel, housing and procurement activities for assigned program team. Needs to understand the day to day operations of the specific program and have an understanding of priorities and program specific needs.
  • Collaborates with team members to identify, recommend, and implement process improvements.
  • Analyzes reports for trends or issues that should be shared with internal clients in consultation with program leadership.

Education and Work Experience:

  • Requires a Bachelor's degree
  • Requires at least two years of related work experience.

Knowledge, skills and abilities

  • Experience handling payments and travel logistics.
  • Experience in projects and tasks involving complex details which require well-developed organizational, time-management and administrative skills.
  • Ability to compare and evaluate possible courses of action and recommend appropriate course of action.
  • Demonstrated excellent interpersonal and communication skills, both oral and written.
  • Ability to read and interpret documents such as contracts, policy and procedure manuals and write complex reports and correspondence.
  • Experience training others on procedures.
  • Ability to interact with all levels of team members and external contacts; sensitive to cultural differences when working with people from other cultures.
  • Ability to exercise discretion on confidential matters and to demonstrate sound judgment in consulting with and keeping others informed.
  • Ability to work effectively under pressure of deadlines.

Work Conditions & Physical Demands

Essential functions are performed in a general office setting with low noise. Job demands may require long periods of sitting; telephone work and/or computer work, as well as interactions with other team members and external stakeholders.
